Assistant Buyer

SUMMARY

Supports the Buyer in the development of the product and contributes to the creative direction of the range utilizing their commercial knowledge. The Assistant Buyer also supports the Buyer with the development of the Buying Coordinator.

JOB ROLE

Critical Path Management

  • Takes ownership for the Critical Path Process and is able to troubleshoot issues effectively ensuring a smooth process is maintained
  • Ensures the product process is managed effectively and is able to recognise the impact product change and quick response has on the suppliers
  • Participant in meeting, supporting the Buying Coordinator (BC) to chair the meeting effectively. Is responsible to challenge information and update team on unconfirmed order tracking and uses the issues raised for further discussions in order to increase the BC understanding
  • Recognises potential problems and highlight risk to Buyer. Understands and is aware of impact across business, communicating across departments. Offer resolution before issue escalates
  • With limited supervision approves lab dips and prints and offers comments to rejected colours, embellishments and trims
  • With limited supervision, is able to identify appropriate suppliers for sample requests, ensuring accurate completion of sampling and is able to offer comments and ideas for options
  • Has an empathy and understanding of supplier business and production process, taking account of decisions made
  • Begins to create a collaboration as well as a partnership through attending supplier meetings

Product Development

  • Is able to identify and understand key trends to assist the Buyer in selecting and developing the product. Is able to represent the department in supplier and design meetings, commenting on key trends and on product opportunity
  • Understands how dual sourcing and sealing can offer flexibility through product development. Suggests opportunities to potentialise sales
  • Is aware of Buying Calendar dates and ensures developments are put into work on time

Sample Management

  • Cross checks samples against design sheets and is confident with commenting to Buyer/Designer on amendments required
  • Is able to prioritise samples to meet both business and supplier needs
  • Ensures that unconfirmed styles are organised clearly and over sees BC in managing the room
  • With a clear understanding of style, is able to comment clearly and accurately with regards to amendments and is proactive in offering ideas and solutions
  • Understands the role of the Garment Technologist and seeks to build a positive relationship with them
  • Supports the BC with production issues
  • Ensures where possible that the most appropriate samples have press coverage for department. Is aware at all times of sample location and availability.
  • Supports BC with module sheets and ensures accuracy for distribution
  • Ensures that within the team, samples are prepared for relevant meetings. Proactively chases back samples from suppliers or press in anticipation of meetings

Purchase Order Management

  • Negotiates cost prices with suppliers, books unconfirmed orders on time, and ensures that information is collated and handed over to BC for processing
  • Ensures the line detail is updated and is able to discuss supplier mixes as negotiation occurs. Can identify anomalies in the range and offer commercial suggestions to the Buyer in order to achieve a balanced range. Resolves escalated issues

Delivery Management

  • Ensures intake reflects sales and Company priorities by working closely with the Merchandising team
  • Monitor’s supplier bookings and supports the BC as issues arise
  • Ensures MDA’s are prioritised accurately and in a timely manner
  • Through consistent liaison with Merchandising, is aware of stock turn and proactively works with suppliers to ensure appropriate deliveries
  • Collates and analysis’s delivery performance to feed back to Buyer/ Merchandiser
  • Manages and resolves DC issues escalated by the BC, e.g.; stock rejects, re processing whilst ensuring a positive relationship between Buying and the DC is maintained
  • Liaises with the Accounts team in regards to invoices and debits

Trading and Commercial Awareness

  • Oversees and manages bought range, and works as a partnership with the Buyer contributing to new ideas and unconfirmed product
  • Keeps abreast of commercial trading through regular store visits to both Oasis and competitors
  • Has a firm knowledge of own department and business performance through analysis of Line Performance, WSSI and trading pack
  • Is able to discuss with Buyer and Merchandiser sales reactions and put forward commercial solutions
  • Is able to understand Category plans, WSSI and SWOT and apply information in discussions.
  • Recognises current and forward trends and contributes creatively to build the dept and brand. Understands the design and fabric direction for season and works closely with Designer and Buyer

Field Visual Coordinator - South West & South Central

We have an exciting opportunity for an experienced Visual Merchandiser to join us as a Field Visual Coordinator. This role is a field based position that will look after VM within the South West and South Central area.  You will be responsible for developing and delivering a strong visual and commercial brand image to customers at all times.

The role covers the South West and South Central area, with priority stores in Cardiff, Bristol, Reading, Cambridge, Farnham and Milton Keynes, which will require weekly visits. You’ll also be required to come to London twice a month and attend store refits which could take place all over the UK.

The role

  • Driving commerciality and profitability through Visual Merchandising
  • Visually developing the Branch Management and Branch team through training and coaching
  • Supporting the roll out of creative / brand windows across the business
  • Driving all visual initiatives at store openings and refits, supporting Area Managers and the wider team
  • Support Area Managers with store direction and visual needs by store
  • Train retail team on all visual techniques
  • Consistently evaluate and monitor the impact of visual training and communication to ensure it is both relevant and cost effective
  • Creating visual weekly feedback for Head Office
  • Monthly action planning to ensure focus is maintained on driving visual standards
  • Manage personal expense budgets and visual budgets allocated
  • Effectively plan movements and report these back to Area Manager and line Manager

Buying Coordinator

Oasis Fashions are looking to recruit a Buying Coordinator to work in our Buying team in our Shoreditch Head Office.

This is an entry level role with great prospects for someone who is interested in developing a career in buying and has a passion for fashion and retail!

The Role

You will be working within a busy buying department, supporting the Junior Buyers & Buyers in developing and sourcing the Oasis products.

You’ll be involved in a variety of tasks including:

  • Creating garment orders
  • Monitoring the critical path
  • Managing all of the fit stages
  • Sample and department co-ordination
  • A range of ad hoc administrative tasks to support the buying team

Experience & Skills necessary

We are ideally looking for someone with previous experience, or who has completed a relevant qualification and is looking to gain practical industry experience.

Online Assistant

We currently have an exciting opportunity for an Online Assistant to join our Ecommerce team. Reporting into the Online Trade Manager, this role is ideal for someone looking to start their digital career within retail and will give the right candidates some amazing opportunities to get involved with web trading and customer experience.

We’re looking for someone who’s focused and organised, with great attention to detail and Excel skills. Experience of working within an Ecommerce environment would be an advantage, but it’s not essential.

ROLE RESPONSIBILITIES

  • Maintaining high standards on both the Oasis UK and International sites
  • Uploading and managing all product imagery and product videos on the site
  • Amending and checking product details and product placement
  • Working closely with the Trading team to continuously optimise the website with relevant content in line with promotional campaigns
  • Create and manage Web shoot list for weekly products shoots
  • Collation of product samples for weekly web product shoots
  • Manage images for our Host Partners
  • Work closely with the Trade Assistant ensuring all products are accurately presented online in the correct categories, with fully optimised filtering to drive sales, making sure categories have a sufficient product offer at all times and print collections are linked together
  • Monitoring of missed sales due to product not live and model analysis.
  • Complete online and offline comp shops to see what competitors are offering to ensure we are being competitive, commercial and innovative
  • Support with ad hoc trading actions including stock management, product attribution, filtering and product launches

About The Role

The Junior Web Developer will work as part of the Development Team on projects across multiple platforms, to the highest standard. The ideal candidate will be comfortable working in a fast paced environment.

  • Strong front-end web development skills

Senior Assistant Merchandiser

Oasis Fashions are looking to recruit a Senior Assistant Merchandiser to join the Merchandising team in their Shoreditch Head Office.

Purpose of the role

To assist in the planning and trading of own area using analysis and forecasting to ultimately maximise profit and limit risk within the department.

Key Deliverables

Trading

  • Manages the intake, deliveries and capacities for own area taking appropriate action when required
  • Uses the auto DS to identify issues and propose solutions to line manager
  • Is able to manage OTB and re forecast WSSI using all available tools and trading information
  • Works to achieve target margin through awareness of intake, commitment and BTI, highlighting risk to line manager and team
  • With guidance, manages the mark-downs and re-pricings of department with a full awareness of mark down strategy
  • Supports Junior Merchandiser/Merchandiser in preparing for Monday trade meeting
  • Drives and interprets analysis communicating findings to line manager
  • Is able to produce an utilise analysis to consistently plan a balanced stock package, minimising the risk of incorrect buys.

Planning

  • Ensures all relevant historical analysis is gathered to prepare foundations for forward planning
  • Works with buying to plan sales budgets and produce WSSI, Flows and range plan in line with the planning calendar
  • Prepares, presents and follows through department strategy in planning meetings
  • Communicates department priorities, promotions and mark-downs to planning and logistics to ensure a commercial weekly allocation strategy

Commercial /Trend awareness

  • Is aware at all times of company and department targets, and current trading with the ability to lead commercial discussions
  • Keeps abreast of commercial trading through regular store visits to both Oasis and competitors, leading the meeting in the line manager’s absence.
  • Makes decisions by assessing risk and opportunities through different scenarios and solving problems to best deliver results

Experience & Skills necessary

  • Currently be working as an Assistant Merchandiser or Senior Assistant Merchandiser within a fashion retailer or brand

People Assistant

This is an exciting opportunity for a confident, dynamic and motivated HR Assistant to join the Oasis Fashions People Team in their Shoreditch Head Office. 

 

Purpose of the role:

To provide accurate and timely administrative support to the People Team and act as a first point of contact for People queries, enabling the People team to effectively partner with the brand.

 

Key Responsibilities:

People Support

  • Be the first point of contact for all people queries and escalate as appropriate, provide basic ER support, note-taking and occasional guidance on People Policy and procedures
  •  Manage the new starter/leaver/changes process for all Head Office new starters/current employees/leavers ensuring all relevant in information is input on to MYHR/paperwork is submitted on time
  •  Drive the Probationary Review process ensuring Managers meet the required timeframes and associated documentation
  •  Conduct allocated exit interviews

 

 HR Administration & Payroll

  •   Manage all People administration as necessary including offer letters, contracts, forms and all associated documentation, ensuring everything is submitted accurately and timely, in line with payroll deadlines
  • Manage and update the pay review spreadsheet with all changes, leavers, new starters etc
  • Update organisational charts and all other logs accurately as required
  • Support the People Team with any other administration as required
  • Write monthly communication (People News) to announce new starters, leavers and promotions and send out to all Head Office employees
  • Support with International contracts in Sweden and Germany

 

Recruitment

  •  Recruitment administration including advertisement of all Head Office vacancies, screening CV’s, responding to applications, arranging interviews, candidate liaison and room bookings, interview support for entry-level roles
  • Any other ad-hoc duties as required

 

Key Skills

  •  Ability to work with volume and in a fast paced environment
  • Good Microsoft Word, PowerPoint, Excel skills
  • Previous experience working as an HR Assistant or Administrator would be desirable, but not essential
  • Previous or current retail experience – either in store or head office ideally

Production Assistant

The Production Assistant supports the Studio Manager and team, as well as the Ecommerce teams for both Oasis and Warehouse ensuring a smooth and efficient running of the studio.

They are responsible for keeping the studio tidy and organized at all times, supporting studio Manager with various admin tasks. Working closely with the Ecommerce teams on both brands providing support with sample management and offering support on set.

This role reports to the Senior Oasis Brand Stylist.

Key Responsibilities

  • Ensuring studio is tidy and organized at all times. At the end of the day ensuring no samples are left in the changing rooms and all styling items are stored in the styling cupboard
  • Support Ecommerce teams with sample management, moving samples between the Photo studio and the brands HQ’s, clearing shot rails in the studio and ensuring all samples are kept in the correct location. Providing support to the retouch team, ensuring all samples that need colour matching are on the retouch rail
  • Providing support to the Studio Manager, assisting with the production of castings for both Oasis and Warehouse , post office and collection runs, ordering and any other admin tasks needed
  • Assisting on model sets on shoot days, helping with steaming and de-tagging
  • Providing support with sample flow between model and still life set
  • Be the runner on all shoots so that the pace of work remains interrupted
  • Collecting all models and freelancers from reception

Shoot Lead

The Shoot Lead ensures the successful execution of the final image edit and image file preparation for Oasis e-commerce and Creative web imagery, according to the brands creative standards.

This role works closely with the photographers and stylists to produce; direct and edit the best possible imagery. Having previous fashion and editing experience are a necessity for this role.

Your day to day role will consist of ensuring pose, hair&makeup; look and feel direction are on brand and producing top quality e-commerce imagery that is inspiring and appealing to our customer whilst hitting targets.

A key area of responsibility includes managing the process for the “lead image” for each product on the website, and assuring proper image preparation and the passing of final approved image edits to the Post-Production Team for retouching. Image preparation includes, but is not limited to; file management and naming conventions, image file size standards and image and colour processing.

The Shoot Lead also works closely with the retouch team in maintaining consistency in web imagery through to the final customer-facing uploaded image.

This role reports to the Photographic Production Manager.

Key Responsibilities

  • Under the guidance of the Brands and Studio Manager, work closely with the studio team to maintain image selection standards within the e-commerce studio. This includes image processing, editing and choosing the final lead images for each product on the website
  • Establish a high level of communication with photographer and stylist regarding model and product prior to start of shoot – decide on hair, make up, look, feel and attitude for the product/model you are shooting
  • Lead the on-set shoot team in ensuring our shoot sessions are delivered efficiently and to the highest of quality. QC all on-model imagery on set. Delivering a wide edit for all editorial/ Content / Next.com shoots
  • Achieve shoot target every day– manage the team ensuring everything possible is done to achieve this
  • Work closely with the Senior Stylist and Photographer finding ways in which to keep shoots fresh and aspirational, working with the brand to maintain their vision, presenting ideas and providing creative direction on monthly content and Next.com shoots
  • Reference shoot guides to ensure brand and image consistency during every shoot session, feeding back any concerns to Photographer and Photography Manager
  • Marking the shoot list, ensuring images are coded in Capture One and labelled accurately during the photo shoot
  • Flag any concerning colour discrepancies or pertinent retouching notes in imagery, making notes for retouchers
  • Choose and label the final images for each item shot
  • Process out shoot selects, and transfer finals onto studio server after each shoot day
  • Create a contact sheet with final selects at the end of each day

On-Set Leadership

  • Partner with seniors to lead the on-set team to ensure an efficient pace is maintained and each shoot is running as it should, and on time. Maintain a professional and productive working environment on-set at all times. Raise any issues as they arise
  • Giving models direction on poses that reflect the art direction of the brand
  • As imagery is being shot, monitor the image quality and raise any issues regarding pose to photographers, and issues regarding clothing, hair and makeup to stylists so team can rectify in real-time on set
  • Circulate numbers to wider team at the end of each shoot day. Report on anything that may have affected these figures

Key Skills

  • Creative thinker with the ability to multi-task, prioritize and maintain accuracy in a fast paced, dynamic environment
  • Ability to clearly articulate creative direction with varying stakeholders on set, models, photographers and heads of teams

Senior Photographer

The Senior Photographer leads and co-manages the in-house team of photographers and videographers as well as freelancers with the Warehouse Senior Photographer.

Supports the Photographic Production Manager ensuring all business requirements are met.

They are responsible for all photography across the Oasis website, ecommerce and creative, model and still life. Ensuring top quality imagery is being produced and quality and consistency is maintained and followed by all other photographers.

This role reports to the Photographic Production Manager.

Key Responsibilities

  • Delivers all in-house photography, content and third party marketplace shoots (i.e. Next Label) each season across Oasis
  • Leading technical and lighting setups - having an in-depth knowledge of light quality to create a high end aesthetic that shows the products in both their truest form and best quality
  • Works closely with Shoot lead ensuring images produced are on brand and targets are being met
  • Covers all aspects of Photography from model shoots to still life product; including establishing a clean and well exposed image that captures the product and the Brands’ personality to the highest degree. The importance of continuity is essential and images must clearly represent what the consumer believes they have purchased while channelling an online platform
  • Preparing before a shoot ensuring all is organised and communicating if any equipment is needed ahead of time, being aware of what is needed for the day – i.e. crops needed, lighting reference, image sizes etc.
  • Understanding the different style and identity for each brand as we expect a level of flexibility with this role, being able to cover Warehouse shoots when needed
  • Provides edits for all editorial and content shoots and delivers these in an organized and timely manner
  • Technical responsibility and knowledge on the latest photographic capturing software (Capture One). An in-depth knowledge to navigate through the software, creating profiles for model shoots and colour correcting for product shoots
  • Efficiently manages the running of the photography and video team, keeping an updated inventory of all studio equipment and replenishing stock (colorama, tape etc.) Ensuring studio and equipment are kept clean and organised and all Oasis and Warehouse studio equipment is clearly labelled. Coordinating and keeping track of all repairs and equipment orders
  • Keeping an updated photography document with all information needed for freelancers and in house team- covering all process and technical parts of the role
  • Motivate, train and assist photography and video team; sharing advice, directing and nourishing ideas with the team so they improve as individuals and inspire the brand as well as themselves through their work and achievements.  Also responsible for the training and management of any freelancers, ensuring they are fully trained and checking their work. Providing feedback on new freelancers

Social Media Manager

The Social Media Manager is responsible for leading and executing the social media strategy across all channels. Tasked with driving aggressive growth on each platform, they will ensure that follower engagement and sentiment remains high so that Oasis remains front of mind for our customers.

Key Responsibilities

Lead the development of innovative and scalable social marketing strategies to optimise performance against key performance indicators.

Responsible for all branded social media channels, along with working cross-functionally with other teams to amplify our social media presence and relevance, grow our audience and increase engagement and effectiveness globally.

Manages the delivery of the social media calendar, localised social media accounts and Social Media Assistant and continually ensures that best practices are upheld.

Analyses and reports regularly on the performance of social media campaigns and proactively suggests tactical plans that optimise interactions with the Oasis audience and help shape the overall marketing strategy.

Gathers insights from monitoring and analytics to define next-generation social marketing opportunities and identify industry trends.

Works with the Senior Ecommerce Manager to monitor and analyse ROI on a weekly/monthly basis.

Collaborates with the PR team to create seasonal gifting strategies that cover both large-scale and micro influencers as well as super fans.

Responsible for managing blogger and vlogger relationships on a day-to-day basis.

Works with the Web Optimisation Manager to determine social media advertising spend as well as advising on look a-like modelling and geo targeting for campaigns.

Works with the Central Customer Services team to maintain high levels of customer sentiment across all social media sites.

Manages all invoicing, POs and budget lines relating to social media spend.

Supports the Head of Marketing to use knowledge gained through analysis to inform forecasts, budgets and the overall strategic direction of social media marketing.

Responsible for the day-to-day management of the Social Media Assistant, supporting their development through regular mentoring and the setting of personal objectives.

Key Skills

A minimum of 4 years’ experience of interacting within online communities and platforms, actively participating on Facebook, Twitter, Youtube, Pinterest, Instagram, and Snapchat.

Proven experience of executing social media strategies at a global level and leveraging data driven research/analysis to drive strategic direction, best practices and process improvements

Excellent English writing skills.

A fantastic storyteller with a creative approach to telling the Oasis story.

Excellent knowledge of the nuances of unique content for each platform, with a brand publisher mind-set on how this can integrate with other marketing channels.

Excellent project management skills with the ability to manage multiple deadlines.
